Walk the route, not just the room
Ask the venue team to describe the proposed arrival point, access route and any restricted passages. Check whether doors, stairs or shared corridors affect the intended arrangement. Identify who authorises access and when the route is available. These are questions for the property, not details to infer from a floor plan. A visually short route can still conflict with guest arrivals or preparations elsewhere in the building.
Review the performance position from guest seats
Stand where the furthest guests would sit and where service staff need to move. Consider columns, doorways and the relationship between the performers and the couple. Ask what the room’s surfaces and layout may mean for intelligibility, with relevant technical assessment arranged by the responsible parties. Photographs should document the proposed positions clearly rather than merely capture the room’s most flattering angle for a mood board.
Treat house rules as creative inputs
Request the property’s applicable restrictions in writing, including any limits concerning timing, sound, protected interiors or use of outside spaces. Their relevance will depend on the actual venue. Do not assume that a private booking removes these conditions. Discuss what the artistic concept would become if a preferred position or timing proves unsuitable. An alternative is more useful when its emotional purpose survives, rather than only its physical footprint.
Leave with a decision record
Tal Vaknin is a performing artist; SPS shapes repertoire, ensemble and artistic direction and coordinates the performance with planner and venue teams. Give that coordination a practical foundation: one annotated layout, a list of confirmed conditions and named owners for open questions. Distinguish permission received from permission requested. Set a review point for the alternative arrangement so that a provisional idea does not quietly become everyone’s untested final plan.
Before you enquire
- Walk the proposed access route with the venue’s responsible contact.
- Record sightlines, applicable house rules and questions requiring technical assessment.
- Mark confirmed permissions and an alternative position on one shared layout.
